EVENT BOOKING TERMS

Clear Terms For A Considered Event.

Please read these payment, cancellation, rescheduling and planning terms before accepting your proposal or paying your deposit.

Booking And Payment

Your preferred date is not held or secured until your written proposal is accepted and a 50 percent non-refundable booking deposit is received. The remaining 50 percent is due seven calendar days before the event. If the final balance is not received by the due date, The Society & Co may release the date, cancel the booking and retain the deposit, subject to applicable law.

Client Cancellation

The booking deposit is non-refundable because the venue, planning time, practitioners and suppliers may be reserved specifically for your event. If you cancel 15 or more days before the event, the deposit is retained and any additional amount paid will be refunded less approved or non-recoverable third party costs already committed for your booking.

If you cancel 14 calendar days or less before the event, or do not attend, all amounts paid are non-refundable and the full contracted balance remains payable to the extent it reasonably reflects our loss and is permitted by law.

Rescheduling

One reschedule may be requested by written notice received at least 30 calendar days before the original event date. The replacement date must occur within six months, is subject to venue, practitioner and supplier availability, and must be confirmed in writing. Your deposit may be transferred once to the replacement date. You remain responsible for non-recoverable supplier costs, rescheduling charges and any price difference. A request received inside 30 days, a second request or failure to confirm a replacement date is treated as a cancellation.

Services, Guests And Final Details

Published service lists are examples only and are not a promise that every service will be available for every event. The final mix depends on the event date, package purchased, guest numbers and practitioner availability. Only inclusions stated in the accepted written proposal are guaranteed.

Final guest numbers, dietary and accessibility information, run sheet, services, supplier details and production requirements must be supplied by the deadline in your proposal. Reductions after acceptance do not reduce the contracted price. Additions and upgrades are subject to availability, written approval and additional charges.

Equipment, Suppliers And Add Ons

Additional chairs, screens, audio visual equipment, furniture, staging, plinths, product displays, signage, linen, tableware, content production and other approved items may be sourced or coordinated at an additional cost. Supplier availability, delivery, setup, pack down, damage, access and cancellation costs will be confirmed in writing.

Changes Outside Our Control

If an agreed practitioner, supplier or item becomes unavailable, we may propose a reasonable substitution or adjustment. If The Society & Co cannot provide the booked event, we will work with you on a replacement date, substitute service or refund required by applicable law.

Australian Consumer Law

Nothing in these terms excludes, restricts or modifies any right or remedy that cannot lawfully be excluded under the Australian Consumer Law. Your accepted proposal and booking agreement may contain event-specific terms and will prevail to the extent of any inconsistency.
